ACCOUNTANT – Collections and Accounts Receivable


Cambridge Innovation Institute (CII) is seeking a full-time Accountant to assist with Collections and Accounts Receivable.

Responsibilities – approximately 50% collections and 50% receivables

  • Review and monitor open accounts for collection efforts.
  • Contact and respond to customers via phone and email to ensure timely payment of receivables, identify issues related to delinquent payments, manage overdue balances, and resolve discrepancies.
  • Enter invoices, verify information, reconcile and process payments.
  • Keep the Accounts Receivable ledger up to date.

May also assist with:

  • Accounts Payable
  • General Ledger and bank reconciliations
  • Journal entries
  • File and record maintenance

During training, the position is at our Needham, Massachusetts headquarters. At the CFO’s discretion, the position may transition to hybrid (in-person/remote) once training is complete.

Required Skills and Experience

  • At least 2 years of basic accounting experience including Accounts Receivable and Collections.
  • Proficiency with Sage 50 (Peachtree) is required, MAS 90, MAS 900, Sage 100 ERP, or Sage 300 Construction and Real Estate (Timberline).
  • Proficiency with Microsoft Office, especially Excel, is required
  • Effective communication and customer service skills are essential
  • Must be detail-oriented with quick follow-through, able to work independently with confidential information, and consistently exercise good judgment in dealing with competing demands.

CONFERENCE PRODUCTION ASSISTANT (Proofreader/Project Support)


Cambridge Innovation Institute (CII) is seeking an extremely organized Conference Production Assistant with impeccable communication skills, who thrives in an innovative and deadline-driven environment.

The Conference Production Assistant is a mid-level, administrative assistance & project support position. Daily tasks include everything from proofreading and scheduling projects, editing and preparing conference materials, to conferring with speakers and communicating with internal stakeholders. It is a lot to juggle, and it is never boring! If you want to play a key role on the project team, tackle a dynamic and challenging to-do list with overlapping projects, pore over minute details, and deftly handle the needs of several people at once, we want to talk to you!

Our offices are in Needham, Massachusetts. Currently, this job is mostly remote but does require occasionally going into the office to put together conference materials, attend department or companywide meetings, etc.

Role Responsibilities:

  • Support a portfolio of conference projects with overlapping (and occasionally competing) deadlines.
  • Proofread and edit conference materials against time-sensitive deadlines.
  • Respond to speakers' inquiries and remind speakers of submission deadlines.
  • Prepare pdf conference documentation that comes from multiple sources.
  • Coordinate job specs and due dates for duplication and delivery by the printer.
  • Compile, edit and format conference program guides, addenda, flyers, etc.
  • Meet short turnarounds, work against tight deadlines & maintain high standards.
  • Process speaker recordings and PowerPoint files for virtual and in-person events.
  • Put together conference materials for in-person events and manage their distribution and return.

Qualifications and Skills:

  • 3+ years’ experience as an administrative assistant or project assistant
  • 3+ years’ background in proofreading and/or copy editing technical documents and preparing business correspondence
  • Familiarity with supporting project teams; experience coordinating project schedules and deadlines preferred

INSIDE SALES REPRESENTATIVE (Account Manager)


Cambridge Innovation Institute is seeking a highly motivated INSIDE SALES REPRESENTATIVE (Account Manager), with at least 4 years of inside sales experience, to join our energetic and fun team! Our Account Managers call leads and prospects to sell attendee registrations to our conferences. The position involves making phone calls to "warm" leads such as past conference attendees, responding to inquiries, and closing event registrations. Some cold calling is also required.

Prior sales experience is required for this position. Ideal candidates will have at least 4 years of inside sales experience selling products or services priced at or over $1800. If you have a positive, winning attitude and work ethic, don’t take no for an answer, love making calls, and have experience selling to diverse and highly educated customers, please apply!

  • Professional and sales-oriented telephone and closing skills.
  • Experience meeting a daily quota of outbound sales calls.

EXECUTIVE ASSISTANT


Cambridge Innovation Institute (CII) is seeking an extremely organized Executive Assistant with impeccable communication skills.

The Executive Assistant is a mid-level administrative role that will support our company President as he transitions into the CEO role. This is a great opportunity to grow with an established executive as his leadership role expands - an ideal candidate will be able to provide stellar day-to-day support and take ownership of recurring and special projects.

We are looking for a self-motivated and dependable individual who can tackle a dynamic and challenging to-do list. Daily tasks include everything from developing key documents and presentations, communicating with external and internal stakeholders, coordinating with staff at all levels across the company, and maintaining the President’s calendar.

It is a lot to juggle, but it is never boring! Our President is used to doing things for himself, but extremely busy and only getting busier, so this role will offer a critical interface with the Executive Team, the company as a whole, and our external stakeholders. A successful candidate will bring a high level of professionalism, a proactive, can-do attitude, and a sense of humor. They will also be able to work from our office in Needham, MA sometimes, on average one day a week.

Role Responsibilities:

  • Maintain the President’s calendar, including scheduling and rearranging meetings
  • Help coordinate the President’s work travel
  • Submit the President’s expense reimbursement requests
  • Assist in the development of quarter-end/year-end reports and presentations
  • Develop, draft and edit corporate communications for use in various internal and external channels
  • Coordinate with departments throughout the organization and maintain the highest standards while representing the President
  • Provide periodic project support to the larger executive team as well as the Innovation & Technology department, as needed
  • Support conference production efforts by the executive team, including speaker correspondence, coordinating deliverables and researching prospective thought leaders and companies

Qualifications and Skills:
