SYSTEMS ANALYST

MEETING PLANNER ASSISTANT

Cambridge Innovation Institute (CII), a life science and energyconference producing company, is seeking an extremely organized and detail-oriented Meeting Planner Assistant to provide administrative support to the team.  You’ll work closely with a team of top-notch Meeting Planners to deliver conferences from conception to execution, while enjoying some travel along the way.

Main Responsibilities:

  • Assist meeting planners with the execution of logistics required for on-site services, e.g. food & beverage, audio-visual, registration, meeting room assignments, transportation, exhibit services and special events
  • Coordinate hotel rooming lists, shipping and equipment schedules; and assist with on-site document preparation
  • Create standard operating procedures (SOPs) to benefit company productivity
  • Track events to budget and troubleshoot billing inquiries
  • Provide research support & complete tasks required for event execution
  • Handle on-site registration check-ins
  • Maintain supplies inventory by checking stock, anticipating needs, and placing orders

Education & Experience Requirements:

The client services team is responsible for all post-sale follow-up activities in the Company’s sponsorship and exhibits sales group. The Client Services Specialist must be a highly organized and detail-oriented individual with 1-3 years of administrative support experience in a very fast-paced work environment. Each member of our client services team works on multiple events throughout the year, so having excellent project management skills is a must!

Duties involve constant contact (emails and phone calls) with sponsors, exhibitors, vendors and internal teams; tracking and fulfillment of all aspects of sponsorship and exhibit contracts, and doing so with an almost obsessive attention to detail!

This is the perfect position for a marketing or business grad with 1-2 years of marketing experience, who is ready to take the next step in his/her professional career.

This is a multi-faceted and fast-paced position! You will assist the sales marketing team with the following duties:

  • Develop and execute e-mail-marketing campaigns to promote exhibit and sponsorship opportunities for our events
  • Track the e-mail-marketing schedule for each conference and provide statistics for each campaign
  • Generate viable leads for the sales team through multiple marketing avenues
  • Work with conference producers and the sales team on highlights and timing of marketing-related emails for each conference

Role Responsibilities:
As a Conference Administrative Assistant, you will be responsible for organizing and prioritizing your own work load. Qualifications and Skills:
As a Conference Administrative Assistant, you must be self-motivated and dependable with outstanding organizational, prioritization and time-management skills. You must be an effective team player with the ability to support and take direction from numerous sources, including your supervisor, team members and conference speakers. It is essential that you possess excellent verbal and written communication and interpersonal skills.

Our Account Managers call leads and prospects to sell attendee registrations to our conferences. The position primarily involves making phone calls to "warm" leads, such as past conference attendees; responding to inquiries; and closing event registrations. Some cold calling is also required. In addition, our Account Managers maintain and add to a database of prospects. Account Managers must achieve a pre-set quota for daily outbound calls, connect ratios, and overall monthly sales goals.

Ideal candidates will have at least 4 years of inside sales experience, selling products or services priced at or over $1800.
